The Unspoken Rule of Webinars (and How We Enforced It, Silently)
You’re probably familiar with the scenario. You give everything you’ve got to make a fantastic paid webinar. The content is superb, the presentation is sophisticated, and the sign-ups come in big numbers. The day has come; you are already very concentrated and then you notice in the list of attendees: three people relate to the same name as if they were one person.
Do you feel that little discomfort in your stomach? We are very well acquainted with it. 😅
It’s very disappointing. One person paid for each pair or triplet of others who entered through the shared link unnoticed. We were caught up in a frustrating loop of people attending one session, missing the next, and asking for “re-attend” which would then lead to passing on that new link like an invitation to a party. It was clumsy, time-consuming, and to be honest, it was just not nice.
What we needed was a digital door with a bouncer, but one that was in control without being aggressive. Hence, we created one. And the most amazing thing is that it will never have to utter a single word.
Our “Silent Bouncer” Solution
To be able to cut down the attendance sheets to the same people and have amazing conversations instead, we made a straightforward, automated gatekeeper. It has also been a breakthrough.
Letting our new system tell us how it works step by step:
Step 1: The VIP Check-in
To begin with, we created a very easy online form. A participant, who wants to be a part of or come back to the session, just needs to provide a few core details: their full name, their email address, and which session they are targeting. It is crystal clear, it is a very simple process, and it takes less than 30 seconds.
Step 2: The Automated Background Check
This is where actual brainpower comes into play. As soon as one clicks “submit,” our system does an immediate cross-check with our sales records of that person’s data. It poses two simple yet important questions:
Just who is the person? Is he/she a valid and registered participant?
Was the purchase made including access to the exact webinar that is being requested?
Step 3: The Velvet Rope Moment
The system performs that instant check and then automatically takes one of the two paths—without any human intervention.
If the participant is verified: Congratulations! The system registers them for the webinar right away and sends a brand-new, unique joining link straight to their inbox. They get instant access without any hassle. It’s an uninterrupted experience for our esteemed community members.
If the participant is not found: The request gets very politely denied right away by an automated message. There are no accusations and no awkwardness; it’s a soft landing saying something like: “We cannot find a registration with that email. If you have already purchased, please look for your original confirmation link. If not, we would love to have you join us! You can sign up here.”
No disputes. No manual email chains. No awkward DMs trying to bring up who’s who.
The Result: Peace of Mind for All
The introduction of this “silent bouncer” has been nothing short of a complete overhaul of the webinar happenings.
- Link Sharing Turned out to Be of No Consequence: The central issue vanished within a day. As all the valid attendees get a new, special link on demand, the shared links have become worthless now.
- No More Manual Checks: Our crew used to spend hours checking the names on the list for purchases, but not anymore. We can now dedicate our time to what we are most passionate about—producing great content and being present with our community.
- The Experience of the Participant Gained: Those who are paying members and really need to re-join are getting a smooth, instant experience. They do not feel like they are being scrutinized but rather like they are being treated as important and worthy.
There is no need to construct a stronghold to safeguard your premium content. Sometimes, merely a clever, automated gatekeeper is enough to manage the guest list for you—courteously, efficiently, and silently.
